This Privacy Policy explains how Romanly ("Romanly," "we," "us") collects, uses, shares, and protects your information when you use our website and related services (the "Service").

2. Scope

This Privacy Policy applies to the Service, including our website, waitlist pages, and any Romanly-operated features that deliver daily matches and introductions. It does not apply to third-party websites or services you may access through links.

3. Information We Collect

We collect information you provide, information generated by your use of the Service, and (in limited cases) information from third parties.

A. Information you provide

  • Waitlist / account information: name (optional), email, and any other fields you submit (e.g., gender selection for matching).
  • LinkedIn profile link (URL): the URL you provide.
  • Important: We do not automate scraping of LinkedIn. We only use the LinkedIn URL and the information we manually review from your public profile for matching.
  • Professional background details (derived from your public LinkedIn): details we manually extract for matching and display in limited form, such as role/title, industry, education, and other professional background details you make public.
  • Photo (optional): one photo you upload, or (if you choose) a LinkedIn profile photo you authorize us to use, stored for display within the Service.
  • Contact details (optional until required): phone number or another contact handle (e.g., WhatsApp) to enable introductions after a mutual "Yes."
  • Support communications: information you include in messages to us (e.g., requests, feedback, reports).

B. Information collected automatically

  • Usage data: interactions with the Service (e.g., waitlist signup, account actions, "Yes/No" responses), timestamps (including decision windows), and basic logs.
  • Device & connection data: IP address, browser type, device type, operating system, and similar technical identifiers.
  • Approximate location: generally inferred from IP (typically at city/region level).
  • Cookies / similar technologies: used for essential functionality (e.g., security, session management) and basic analytics. You can control cookies through your browser settings.

C. Information from third parties

  • Service providers: vendors supporting hosting, analytics, email delivery, customer support tooling, and security may process limited information on our behalf.
  • Safety/legal reports: information we receive from others (e.g., reports of fraud, abuse, or safety issues).

4. How We Use Information

We use your information to:

  1. Provide and operate the Service (waitlist, onboarding, daily match delivery, and introductions).
  2. Create matches using signals from the information you provide and the professional background we manually review from your public LinkedIn profile.
  3. Facilitate introductions by sharing contact details only after both users select "Yes."
  4. Maintain safety and integrity (detect, prevent, and address fraud, spam, abuse, and policy violations; investigate reports; enforce our Terms).
  5. Communicate with you (service updates, waitlist notifications, product announcements, and support responses).
  6. Improve and protect the Service (debugging, analytics, performance monitoring, feature testing, and security).
  7. Comply with legal obligations and respond to lawful requests.

5. What We Show to Other Users

Romanly is designed to limit identifiable information until there is mutual interest.

A. Before mutual "Yes" (daily match card)

We may show limited information about you to a matched user, such as:

  • One photo,
  • Work/role information (often at a high level, such as industry, role category, or company tier),
  • Education (e.g., school name or degree level),
  • City-level location

B. What we do NOT show before mutual "Yes"

We do not show:

  • Full name (first or last)
  • Your LinkedIn profile or URL
  • Personal contact information
  • Precise location (e.g., exact address)

C. After mutual "Yes"

If both users choose "Yes," we share the contact details each person provided for introductions (e.g., phone number or WhatsApp handle).

Important: After a mutual match, any communication outside Romanly is between users, and Romanly does not monitor those interactions.

6. How We Share Information

We share information only as described below.

A. With other users

  • Limited match-card information as described in Section 5.
  • Contact details only after mutual "Yes."

B. With service providers

We use third-party vendors to operate and improve the Service (e.g., hosting, email delivery, analytics, security). They may process information on our behalf and are expected to protect it and use it only to provide services to us.

C. For safety, security, and legal reasons

We may disclose information if we believe it is reasonably necessary to:

  • comply with applicable law, regulation, legal process, or lawful governmental request;
  • enforce our Terms or policies;
  • detect, prevent, or address fraud, security, or technical issues;
  • protect the rights, property, and safety of Romanly, our users, or the public.

D. Business transfers

If Romanly is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to reasonable safeguards.

7. Data Retention

We retain personal information only as long as needed for the purposes described in this Privacy Policy, including safety, security, and legal compliance.

  • Waitlist information: retained until you unsubscribe, request deletion, or we determine the waitlist is no longer active.
  • Account information: retained while your account is active.
  • Deleted accounts: we generally delete or de-identify personal information within a reasonable period after deletion, except where we must retain certain information for legal obligations, fraud prevention, safety investigations, dispute resolution, or to enforce our agreements.

8. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to object to or limit certain processing.

You can:

  • Request access, correction, or deletion by emailing support@romanly.app.
  • Opt out of non-essential emails using an unsubscribe link (where provided).
  • Control cookies through your browser settings (note: disabling certain cookies may affect functionality).

We may request information to verify your identity before fulfilling certain requests.

9. Security

We use reasonable administrative, technical, and organizational safeguards to protect information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Children

Romanly is intended for individuals 18 and older. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact support@romanly.app.

11. International Users

Romanly may process and store information in the United States and other countries where we or our service providers operate. Data protection laws in those countries may differ from the laws in your place of residence.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will post the updated version and revise the effective date. If changes are material, we may provide additional notice as appropriate.
